This position is responsible for all loan operations. Responsible for ensuring that all documenting, booking, funding, and servicing tasks are completed in compliance with the applicable regulations, MidCountry Bank policies and procedures or special requirements as dictated by the loan approval authority.

We may hire a level 1 or level 2 depending on the qualifications of a specific candidate.  Specifics duties and qualifications based on level are below. 



Reporting: Prepare and review loan operations reports.

Level 1-

  • Accurately prepare government guaranteed loan program reports
  • Accurately complete loan program reporting for ancillary programs such as PMI programs
  • Create and maintain original loan files, maintaining proper records that follow the Bank's retention guidelines

Level 2-  

  • Monitor loan operation reports (daily, weekly and monthly), identify and resolve problems as appropriate
  • Review daily non-post transactions and ensure balancing of internal accounts
  • Resolve daily Freddie edits and remit payoffs as required
  • Prepare and review credit reporting reports


Servicing: Receive change requests from internal and external customers, identify changes necessary within existing portfolio, and process changes through the applicable processes. Provide professional, timely and courteous service to all customers.

Level 1-

  • Process administrative service requests accurately to maintain customer and account information records within established time frames
  • Process insurance by overseeing tracking of insurance for loan collateral, verifying renewal policies for adequate insurance coverage, updating insurance ticklers as renewal policies received, conducting appropriate follow up on coverage
  • Perfect all collateral based on department policy and procedure, including follow-up on receipt of recorded documents
  • Process paid loans by coordinating processing with Commercial, Agriculture and Consumer business lines
  • Process ticklers including performing tickler maintenance in a timely manner on core system
  • Coordinate resolution for internal and external customers through appropriate internal processes
  • Prepare proper lien release/satisfaction forms within regulatory guidelines on all paid consumer and mortgage loans, including customer notifications

Level 2-

  • Perform file maintenance in an accurate and timely manner to maintain integrity of loan data on system
  • Administer payoff quotes and payoff transactions
  • Oversee the tracking of real estate tax payments, homeowners insurance and flood insurance with vendors
  • Obtain and cancel forced place insurance as necessary and notify customer in appropriate timeframe
  • Research and respond to credit report disputes either directly to the customer or though eOscar
  • Oversee monetary transactions including accurately posting any type of loan payment and accurate processing of requested advances, including wire transfers
  • Process payoff quotes, payoff transactions, participation payments and wire transfers.
  • Resolve all daily non-post transactions
  • Perform escrow analysis including tax, PMI and insurance payments
  • Accurately process impaired loan and other change requests, including, fees, charge offs, write downs, OREO/foreclosures and bankruptcy system updates
  • Monitor denied commercial, agriculture, and consumer loans for adherence to compliance requirements


Booking: Transfer documented loan details to build the loan file in the system of record. Level 2 only.

  • Accurately build loan files for commercial, agriculture, consumer and mortgage loans to transfer loan documentation to the system of record


Documenting: Prepare loan documentation that matches the approved customer request. Level 2 only.

  • Create basic documents necessary to meet Credit Policy, Regulatory and Compliance, legal and procedural requirements for commercial, agriculture, and consumer and mortgage new loans, modifications, refinances, extensions, renewals, change in terms, and subordinations within established SLAs.


Reviewing: Level 2 only.

    • Complete a file review of all closed loans by reviewing the loan documents to ensure they were properly executed, all loan documents are imaged in Director and all original critical documents are held in the vault, and any errors are resolved in a timely manner.




  • Required: 2 year College/Tech Degree or equivalent experience
  • Preferred: Bachelor's Degree or equivalent experience


  • Level 1: 1+ years of general office experience required; 1+ years of loan administration or related experience preferred
  • Level 2: 2+ years of loan administration or related experience required; 5+ years of loan admin or related experience and Fiserv and/or LaserPro experience preferred
